How to transcribe audio offline on iPhone

Prepare before you go offline

Install Vocatim and download the transcription model while you have internet access. If you want local summaries or speaker processing, prepare the models those features need too. Installation, model downloads and purchase restoration are separate from offline transcription.

Keep enough free storage for both the models and your audio. A larger model is not automatically the right choice for every iPhone: memory and processing time matter as well as quality. Check App Store compatibility and test a short recording before a long session.

From recording to reviewed text

1. Record in Vocatim, or import an audio file already stored on the phone.
2. Select the spoken language when you know it. The interface language and recording language are separate choices.
3. Start local transcription and let the selected model process the audio.
4. Run speaker labelling if needed, then review the transcript against playback.
5. Correct names and technical terms before exporting the text.

An item visible in Files may still be stored only in iCloud Drive. Download it to the phone before disconnecting. A local model cannot open an audio file that has not arrived on the device.

Get better results before choosing a bigger model

Record close enough to hear each person clearly. Avoid placing the phone next to a noisy fan, and check which microphone is active when using Bluetooth. Keep a short test with realistic room noise rather than evaluating only a quiet voice memo.

Transcription and speaker labelling are different tasks. A correct sentence can be assigned to the wrong person, especially when people overlap. Review both. Treat an AI summary as a draft, not a substitute for checking the recording.

Offline processing is not the same as sync

For a single-device workflow, keep iCloud sync off and work with local files. Optional iCloud sync transfers data through Apple, and sending work to your Mac transfers the recording to another device. Neither is required to transcribe locally on your iPhone.

For longer recordings, a compatible Mac can be a more practical place to run larger models. That is an alternative workflow, not a promise that every phone can run every model.
